What is UAN?

The Universal Account Number (UAN) is a 12-digit permanent identification number provided by the Employees’ Provident Fund Organisation (EPFO) and authenticated by the Ministry of Labour. It stays the same throughout an employee’s career, even when they switch jobs.

Whenever an employee joins a new organization, EPFO generates a new member ID (EPF account) that is automatically linked to the existing UAN. This system simplifies PF transfers and withdrawals. By sharing the UAN with a new employer, a fresh member ID is created and mapped under the same number, allowing the UAN to act as a single umbrella for all EPF accounts across different employments.

EPFO Login & UAN Login Process

Employers can access the EPFO Login l by following these simple steps:

Step 1: Visit the EPFO Website: Go to the official EPFO website and click on ‘For Employers’ under the Services section.

Step 2: Open the Employer Portal: On the new dashboard, select ‘Online ECR/Challan Submission/OTCP’ from the Services tab. You will be redirected to the EPF Unified Portal for Employers.

Make sure you choose ‘Employer’s Sign In’ instead of ‘Establishment Sign In’. Switch the option if required.

Step 3: Log In Using Credentials: Employers can sign in using their username and password created during establishment registration.

If you haven’t registered yet, the ‘Online Registration of Establishment’ option is available under the Services section. Be sure to read the instruction manual before completing the registration process.

How to Activate UAN Online?

To activate your UAN, you need your Universal Account Number or PF member ID. Follow the steps below to activate UAN on the EPFO portal:

  • Visit the EPFO portal –https://passbook.epfindia.gov.in/ and select ‘Activate UAN’ under the Important Links section.
  • Choose the UAN option and enter your UAN, Aadhaar number, name, date of birth, mobile number, and captcha. Tick the consent box and click ‘Get Authorisation Pin’.
  • A new page will appear showing your details. Check carefully to ensure all information is accurate.
  • Tick the ‘I Agree’ box, enter the 4-digit OTP sent to your registered mobile number, and click ‘Validate OTP and Activate UAN’.
  • After OTP verification, your UAN will be successfully activated.

Once activated, you will receive a password on your registered mobile number, which you can use to log in to your UAN account.

How to Link Aadhaar With UAN?

Linking your Aadhaar with your EPF account enables faster withdrawals, seamless transfers, and smoother verification. Employees can now complete Aadhaar seeding directly through the UAN portal without employer approval, provided both Aadhaar and UAN are already verified.

Follow these steps to link your UAN with Aadhaar:**

  • Log in to the EPFO portal using your UAN, password, and captcha.
  • Go to the ‘Manage’ tab and select ‘KYC’.
  • Tick the box next to Aadhaar, enter your 12-digit Aadhaar number and name, then click Save.
  • After submission, the details will appear under the ‘Pending KYC’ section. Once approved by the employer, they will move to the ‘Approved KYC’ tab. (Approval generally takes up to 15 days.)

How to Download UAN Passbook?

You can easily view and download your EPF Passbook online through the official EPFO Portal. To access it, you must be a registered member. Once registered, you can download your passbook using any of the following methods:

  • Via the UMANG App

How to Change or Update Personal Details on the UAN Portal?

Employees can update their personal information- such as name, date of birth, mobile number, and email ID- by logging in to the UAN portal. All details must match the information on your Aadhaar card; otherwise, the update request will be rejected.

You can update your mobile number and email ID without employer approval. Once verified through an OTP, these changes are updated instantly.

You can also add or modify your bank details in the EPFO system. However, bank-related changes require digital approval from your employer before they are linked to your UAN.
